Mary Evans Elementary PTA Positions

Evans PTA Officers (these are voting positions with a 2 year term limit)

 

It goes without saying that being a PTA Officer represents a large time commitment throughout the school year, but these positions also have the greatest impact on our school!

 

The President shall:

  • Coordinate and supervise all Evans PTA activities

  • Preside over all monthly PTA meetings and PTA board planning

  • Meet weekly with the principal to communicate and get approval for PTA activities

  • Provide financial, Plan of Work oversight, guidance and mentorship to the four VPs, Treasurer and Secretary

  • Preside over all PTA membership meetings

 

The 1st Vice President, Ways and Means shall:

  • Coordinate all fundraising events of the PTA
  • Present plans to the association to raise funds necessary for the work of the organization and supervise all money-making activities
  • Be a member of the budget and finance committee
  • Provide financial and Plan of Work oversight and guidance / mentorship to book fair committee chair, spirit wear committee, spirit night committee, 6th grade committee and school supplies committee

 

The 2nd Vice President, Membership shall:

  • Build membership by enrolling parents, teachers and interested citizens and ensure the membership lists and dues are sent to the Texas PTA no later than the appropriate reporting dates

  • Encourage participation in state membership awards competition

  • Responsible for distribution of awards to council, state, and national PTA by their due dates

  • Serve as a chair of the annual Life Membership awards committee

  • Provide financial and Plan of Work oversight and guidance / mentorship to Allen Council of PTAs Delegate, new family hospitality committee chair, staff appreciation committee chair, youth protection committee, and WatchDOGs committee

 

The 3rd Vice President, Programs shall:

  • Select programs to be held during membership meetings (including parent education) subject to the principal’s approval

  • Review current state program resource guide and check to see that each area (planning, publicity, presenting program, extending courtesies and evaluating) is covered

  • Provide financial and Plan of Work oversight and guidance / mentorship to community engagement committee chair, diversity and inclusion committee chair, healthy lifestyles committee chair, Arts In Education committee, and Veteran’s Day committee

  • Provide oversight for any other committee that offers a program benefiting all students and families of Mary Evans Elementary

 

The 4th Vice President, Communications shall:

  • Ensure communication and publicity of the PTA and all events is effective, timely, and updated on all technology and communication tools
    Create a school directory using email and/or paper communication with Evans parents
  • Publish a newsletter (paper or e-newsletter) with information pertaining to PTA, school, and community events
  • Attend Allen ISD Technology meetings and report back to Mary Evans Elementary PTA executive board and membership meetings
  • Provide financial and Plan of Work oversight and guidance / mentorship to the volunteer services committee chair, technology / webmaster committee chair, and social media committee
  • Maintain annual renewals of domain name and website hosting

 

The Secretary shall:

  • Record the minutes of all executive board and membership meetings

  • Maintain a current copy of the PTA bylaws and standing rules

  • Confirm the executive board has reviewed and the membership has adopted the Texas PTA Records Retention Policy annually

  • Confirm that all executive board members have signed the PTA Confidentiality, Ethics, and Conflict of Interest Agreement

  • Maintain the required PTA documents including but not limited to the records retention policy, the e-commerce policy, the social media guidelines, approved plans of work, and membership rosters

  • Present a written summary of all PTA's events, programs and significant information

 

The Treasurer shall:

  • Have custody of all the PTA funds

  • Serve as the budget and finance committee chair

  • Present a written and verbal financial report at regular executive board and membership meetings

  • Maintain books of account and records including bank statements, receipts, budgets, invoices, paid receipts, and canceled checks in accordance with the records retention policy

  • Make disbursements in accordance with the budget adopted by the membership

  • Be authorized to sign on bank accounts and access accounts electronically

  • Present a preliminary annual report, showing budget to actual, at the annual meeting

  • Present next fiscal year's proposed budget for adoption by membership at the annual meeting

  • Complete and file all additional tax documents

  • Present books of account and records to the financial reconciliation committee

 

The Parliamentarian shall:

  • Advise the executive board and members on questions of parliamentary procedure
  • Serve as ex-officio on the bylaws and standing rules review committee
  • Schedule first nominating committee meeting and provide committee the required information on the nomination and election process
  • Vote only when the vote is by ballot

 


 

Evans PTA Executive Officers (these are voting positions with a 2 year term limit)

 

Book Fair Committee Chair shall:

  • Coordinate the dates and schedule for the Fall and Spring Book Fairs
  • Coordinate all details with Scholastic (or similar company) for delivery and other logistics
  • Coordinate all aspects of book fair including decorations, contests, book selection, teacher and student preview, and financial goals
  • Work as a liaison with Evans librarian

This position reports to the 1st VP, Ways and Means and is required to attend monthly board meetings.

 

 

Allen Council of PTAs Delegate / Community Relations shall:

  • Represent Mary Evans Elementary PTA at all Allen Council of PTAs meetings
  • Present Citizenship Award nominations to Allen Council, per their submission calendar
  • Report Council activities to Mary Evans Elementary PTA meetings
  • Bring facts, information and viewpoints from Mary Evans Elementary PTA to the Council
  • Participate in activities as requested by Council
  • Be aware of legislative actions of the Texas PTA and National PTA and report to the executive board and membership

This position reports to the 2nd VP, Membership and is required to attend monthly board meetings.

 

 

New Family Hospitality Committee Chair shall:

  • Coordinate with Mary Evans staff to host new family social events like Tears and Cheers and Coffee with the Principal
  • Supply refreshments as requested for membership meetings and events
  • Make meetings and functions inviting and welcoming
  • Maintain an inventory of PTA supplies used at PTA functions / meetings and communicate the inventory to the board to prevent unnecessary purchases

This position reports to the 2nd VP, Membership and is required to attend monthly board meetings.

 

 

Staff Appreciation Committee Chair shall:

  • Coordinate efforts to show appreciation for the faculty and staff throughout the year including stocking the teachers' lounge, seasonal treats, and special gifts
  • Coordinate monthly teacher birthday treats
  • Coordinate Teacher/Staff Appreciation week in May

This position reports to the 2nd VP, Membership and is required to attend monthly board meetings.

 

 

Diversity and Inclusion Committee Chair shall:

  • Coordinate with Mary Evans staff to plan and execute World Culture Week
  • Coordinate with Mary Evans staff to identify opportunities to support students with unique needs (ex. library books, school event considerations, classroom initiatives, etc.)
  • Identify opportunities to educate about and celebrate the diverse cultures represented at our school

This position reports to the 2nd VP, Membership and is required to attend monthly board meetings.

 

 

Community Engagement Committee Chair shall:

  • Coordinate with Mary Evans staff to plan, promote and execute all aspects of Corky’s Jamboree (Fall community event)
  • Coordinate with Mary Evans staff to plan, promote and execute all aspects of a Spring social event
  • Create and execute opportunities to engage the Mary Evans families throughout the year, ensuring a strong overall community

This position reports to the 3rd VP, Programs and is required to attend monthly board meetings.

 

 

Healthy Lifestyles Committee Chair shall:

  • Plan and develop programs for enhancing the education of our students and families regarding healthy eating and activities

  • Coordinate, promote, and execute annual campus or district-wide family fitness event

  • Coordinate, promote, and execute Allen Eagle Run support through the Foundation for Allen Schools

  • Work as a liaison with Evans PE coaches to coordinate and execute all aspects of Field Day

This position reports to the 3rd VP, Programs and is required to attend monthly board meetings.

 

 

Volunteer Services Committee Chair shall:

  • Collect volunteering interests from the Evans community
  • Assist with recruiting volunteers for events planned by PTA and/or Evans staff and for faculty volunteer requests
  • Coordinate room parent orientation at the beginning of the year, create consistency in processes and provide training and resource guide to GLCs
  • Ensure all volunteers are aware that AISD requires a background check to work with students on campus
  • Coordinate copy volunteer schedule and complete volunteer training on copier and laminating processes

This position reports to the 4th VP, Communications and is required to attend monthly board meetings.

 

 

Webmaster/Communications Chair shall:

  • Manage the PTA website at maryevanspta.org

  • Publish communications about  Evans PTA and school events through appropriate channels (social media, newspaper, TV, local radio, etc.) 

  • Manage and distribute PTA newsletter to membership, ensuring consistent and effective communication of PTA events

This position reports to the 4th VP, Communications and is required to attend monthly board meetings.

 


 

Evans PTA Special Chairpersons (these are non-voting positions without a term limit)

 

Spirit Wear Chairperson shall:

  • Coordinate selection of the spirit wear options - t-shirts, tanks, hoodies, socks, house shirts, etc. - with spirit wear vendors
  • Communicate and promote spirit wear sales to the Evans community 
  • Oversee delivery of all orders as needed

This Chair reports to the 1st VP, Ways and Means and is not required to attend board meetings.

(Moderate commitment, mostly at the beginning of the school year)

 

 

Spirit Nights Chairperson shall:

  • Contact and coordinate with businesses to host spirit night events.
  • Coordinate dates with 1st VP and President
  • Confirm dates before the events
  • Promote and advertise spirit nights to the Evans community through signage, social media, email, etc.

This Chair reports to the 1st VP, Ways and Means and is not required to attend board meetings.

(Small commitment throughout the year)

 

 

Sixth Grade Lead Chairperson (a 6th grade parent) shall:

  • Coordinate fundraising for sixth grade events
  • Plan the end of year 6th grade party and/or graduation
  • Work with Evans office to coordinate Evans Express Day
  • Work with Evans music teacher to coordinate 6th grade Talent Show

This Chair reports to the 1st VP, Ways and Means and is not required to attend board meetings.

(Moderate time commitment, mostly at the end of the school year)

 

 

School Supplies Coordinator Chairperson shall:

  • Coordinate the purchase, delivery, and distribution of school supply kits
  • Coordinate with teachers to update the following year's supply lists
  • Promote and advertise the sale of school supplies to the Evans community

This Chair reports to the 1st VP, Ways and Means and is not required to attend board meetings.

(Small to moderate time commitment, in early Fall and late Spring)

 

 

WatchDOGs (Dads of Great Students) Coordinator Chairperson shall:

  • Work with the guidance counselor to establish WatchDOGS objectives and schedule
  • Coordinate volunteers to be WatchDOGS
  • Organize Donuts with WatchDOGS events at fall and spring book fairs
  • Help with Corky’s Jamboree and other events as needed.

This Chair reports to the 2nd VP, Membership and is not required to attend board meetings.

(Small to moderate time commitment throughout the school year)

 

 

Veteran's Day Coordinator Chairperson shall:

  • Coordinate with the Programs VP and Evans staff to plan the Veteran's Day Event
  • Oversee the purchase of decorations, refreshments, and all vendors related to the event
  • Manage volunteers necessary to decorate, help with the event, the set-up and clean-up
  • Promote the event to the Evans community

This Chair reports to the 3rd VP, Programs and is not required to attend board meetings.

(Moderate time commitment, 1-2 weeks in November)

 

 

Arts in Education Chairperson shall: 

  • Coordinate Evans' participation in the Texas PTA Reflections Art Contest
  • Coordinate Evans' participation in the City of Allen Recycled Art Contest
  • Partner with the Art teacher for other arts initiatives that PTA can help support 

This Chair reports to the 3rd VP, Programs and is not required to attend board meetings.

(Small to moderate time commitment throughout the school year)

 

 

Social Media Chairperson shall:

  • Promote excitement and awareness of PTA events throughout the year via social media
    Communicate other important messages from the PTA Board as requested via social media
  • Manage all Evans Social media accounts on Facebook, Twitter, and Instagram

This chair reports to the 4th VP, Communications and is not required to attend board meetings.

(Small to moderate time commitment throughout the school year)
